1. Information we collect
Learntasia Coaching may collect information that students, parents or guardians, coaches, and administrators provide directly, such as names, email addresses, coaching profile information, grade level, college-planning information, application and deadline information, coaching notes, tasks, session records, messages, and other information used to deliver coaching services.
Google Sign-In information
When you choose to sign in with Google, Learntasia Coaching may receive basic account information made available through the authentication process, such as your name, email address, Google account identifier, and profile information that Google makes available for sign-in. Learntasia Coaching does not receive your Google password.
Google Drive information
If you choose to connect Google Drive, Learntasia Coaching uses Google's file-specific authorization approach so that you can choose files for use with the coaching workflow. The current integration requests the drive.file scope. This is intended to limit access to files that you choose, open, or otherwise authorize for use with Learntasia Coaching rather than providing general access to unrelated files in your Drive.
For a Google Doc linked to an essay, PIQ, scholarship, application, or other coaching workflow, Learntasia Coaching may store the Google Drive file identifier, file title, the student or coaching item it is associated with, the date it was linked, and related workflow metadata. In the current linking workflow, the Google Doc itself remains in Google Drive and Learntasia Coaching does not intentionally store the full document contents in its application database merely because the document is linked.
2. How we use information
We use information to authenticate users, provide the coaching portal, organize coaching plans and deadlines, connect authorized Google Drive files to the appropriate coaching workflow, provide coaching and support, maintain account security, troubleshoot the service, and comply with legal obligations.
Google user data is not used for advertising, sold to data brokers, or used to build advertising profiles.
3. How Google data is accessed and handled
- User choice: Google Drive access is initiated when a user chooses to use a Drive feature and selects or authorizes a file.
- Limited access: Learntasia Coaching is designed to request only the Google permissions needed for the requested feature.
- Tokens: the current Google Picker workflow uses a short-lived authorization token in the browser. Learntasia Coaching does not intentionally store that Google OAuth access token in its application database.
- Unlinking: removing a Google Doc link from Learntasia Coaching removes the portal association; it does not delete the original file from Google Drive.
- Revocation: you may revoke Learntasia Coaching's Google access through your Google Account's third-party connections or permissions settings.
4. When information may be shared
We may use service providers that help operate Learntasia Coaching, such as hosting, authentication, database, payment, communications, and meeting-service providers. Information is shared with these providers only as reasonably necessary to provide the requested service, subject to their applicable terms and privacy practices. We may also disclose information when required by law, to protect rights or safety, or in connection with a business transaction where permitted by law.
We do not sell Google user data.
5. Student and family information
Learntasia Coaching is designed for college-admissions coaching, which may involve students who are minors. Parents or guardians should participate in or authorize account use when required by applicable law or the family's coaching arrangement. Users should provide only information reasonably necessary for coaching services.
6. Data retention and deletion
We retain information for as long as reasonably necessary to provide coaching services, maintain required business records, resolve disputes, enforce agreements, and comply with law. A user may request correction or deletion of personal information by contacting us. Certain records may be retained when legally or operationally required.
Users can unlink a connected Google Doc from Learntasia Coaching without deleting the original document from Google Drive. Users can also revoke Google authorization separately through their Google Account.
7. Security
We use reasonable administrative and technical measures intended to protect information. No online service can guarantee absolute security, and users are responsible for protecting their own account credentials and devices.
8. Your choices
You may choose not to connect Google Drive and may use available manual linking or other non-Drive workflows where supported. You may revoke Google permissions, request access to or correction of your information, or request deletion by contacting us.
9. Changes to this policy
We may update this Privacy Policy when our services, data practices, or legal requirements change. The effective date above will be updated when changes are posted. If a material change affects how Google user data is used, we will update the disclosure and obtain consent where required before using the data for a new purpose.
